What you will take away from this lesson
Every December, ACME reviews the price sheet Blue Harbor Wholesale sends for the coming month: which categories sell, which lead times are long, which increases need a reason. The review goes to the supplier, the supplier answers, and a revised sheet comes back.
This capstone runs that cycle on the demo tenant with everything the series covered: a group share to an external persona, a colleague as editor, a shared and an internal thread, and the supplier’s file as a registered table.
Learning Objectives
- 01Build a document for a client from a registered file joined to warehouse data.
- 02File it in a collection shared with the client’s external persona and with a colleague.
- 03Run a shared thread with the client beside an internal thread about them.
- 04Close the loop when the client’s next file arrives.
Where this lesson sits
This is the last lesson of the 800 series, and it uses every one before it.
800 Series: Working with People Outside the Company
- 801Who can open whatThe Share dialog by access: people and their roles, personas as groups whose membership is read when the item is opened, guests, and the one general link an item has.
- 802Requests for accessWhat a person without access sees, how the owner approves as viewer or editor or declines from the email, the Inbox or the dialog, and the limits and expiry an administrator sets.
- 803Posting to a channelPosting an item to a Slack, Mattermost or email channel as a link share of its own, what the channel sees, who the link opens for, and removing it.
- 804Portal permissionsThe persona editor by surface, one access level per portal area, the sharing permission, the access summary, and what deleting a persona checks first.
- 805Your clients as external peopleAn external persona per client organization, accounts that live in your identity provider, and the fixed limits: only what is shared, only shared threads, no sharing, no agent.
- 806Files from outsideUploads into an external person’s own folder, the External files folder staff open, and registering a client’s monthly file as a table beside the warehouse.
- 807Capstone: a supplier’s collection, thread and monthly fileAn ACME supplier collection shared with the supplier’s persona, a shared thread beside an internal one, and the supplier’s next price sheet registered and joined into the review.
The 800 series builds on sharing within the team from lesson 303 and registers a client’s file the way the 500 series does. Every example is on the ACME demo tenant, with a fictional supplier, Blue Harbor Wholesale.
The data behind the review
The review starts from the supplier’s own sheet, registered as a table in the 500 series, joined to the product catalog and November sales.
The data behind the quote review
What the agent calls. This is the exchange the agent has with Plexara on your behalf, shown for the technical reader. You ask in plain language; you never type any of it.
trino_query connection: acme quoted SKUs from scratch.uploads.admin_supplier_price_sheet joined to warehouse.public.products and categories with November 2025 units from transaction_items category quoted nov units avg lead 21+ days above cost Storage & Organization 14 937 16.4 5 9 Bath & Body 12 886 14.4 4 8 Cosmetics 12 881 18.3 7 3 Personal Care 13 811 14.4 4 13 Phone Accessories 13 774 13.6 3 9 ... five more categories
The query reads sell-through and lead times, not margin. What a supplier is shown is a choice made when the document is written: the supplier sees what it needs to answer, and ACME’s margin stays in the internal dashboard from lesson 504.
The document, the collection and the people
Four objects carry the cycle on the demo tenant.
What was built on the demo tenant
Document
Blue Harbor Wholesale: December quote review
- A markdown asset: the sell-through table above and three questions for the supplier, about Personal Care pricing, Cosmetics lead times, and how lead times are measured.
Collection
Blue Harbor Wholesale
- One section, Quote reviews, holding the document. Each month’s review is added to the same section.
Persona
supplier-blue-harbor
- External, with sharing off, feedback and PDF export on, and uploads on.
Colleague
Jordan Reyes, analyst
- Added to the directory ahead of their first sign-in, then shared the collection as an editor.
Two conversations on one document
ACME asks the supplier one question in a shared thread, and keeps a note about the supplier in an internal thread on the same document.
Threads on the quote review
| Thread | Kind | Visibility | Who sees it |
|---|---|---|---|
| Personal Care increase: full range or selected SKUs? | Question | Shared | Requires resolution; the supplier sees and answers it |
| Cosmetics lead times look padded | Comment | Internal | ACME only; invisible to the supplier in every list and count |
The next month
From here the cycle repeats every month with the objects already in place.
The monthly cycle
- 1
The supplier reads and replies
They sign in, open the collection from Shared with me, and answer the shared question in its thread.
- 2
The supplier uploads a revised sheet
Into their own folder. It is shared with nobody on arrival.
- 3
ACME picks it up from External files
Someone with Manage adds it as a new version of the price sheet file, and the registered table follows it.
- 4
The next review is built and filed
The same query runs on the new rows, and the next document is added to the Quote reviews section, where the supplier already has access.
Nothing in the cycle needs a new share, a new account or a new table. The only steps that change hands are the ones a person decides: the questions ACME asks and the sheet the supplier sends.
Taking it further
Working with people outside the company
The supplier works in the same portal as ACME’s staff, sees only its collection and its threads, and sends its files through its own folder.
Key terms
Two terms close the series.
Key Terms
- Client collection
- A collection shared with an external persona, holding what that organization is meant to see.
- Shared with me
- Where an external person finds the collections and items shared with them or their persona.
